You can use Whiteboards to make it easy to express your ideas, teach people new concepts and collaborate on designs. Sometimes, it may provide a handy place for people to share their thoughts in a shared area. So, in today’s scenario, using  Zoom Whiteboard within a Zoom meeting has become incredibly useful.

Zoom has considered this into their mind and embedded a whiteboard and enable it even for the Free Users of Zoom.

But there are a couple of things that you need to be aware of and a couple of settings you need to know so everything can run smoothly.

The first thing that you want to do is to share a whiteboard. To do that, follow these steps.

  • First, login to your Zoom meeting.

  • Click the Screen Share button

Sharing a whiteboard on Android

  • First, go to the meeting controls panel and tap on the Share

  • Tap Share Whiteboard.

  • To open annotation tools tap the pen icon.

  • Once you have completed annotations tap on the cross mark (close icon). It will close the annotation tools

  • To stop sharing the Zoom Whiteboard tap on Stop Share.

Sharing a whiteboard on iOS

Please note that the Whiteboard feature is currently available only for iPad. If you are using an iPhone, you will not be able to see the Whiteboard option. You can share a Whiteboard on iOS as follows

  • First, go to the meeting controls panel and tap on Share Content

  • Next tap on Whiteboard.

  • Now you will see the whiteboard with annotation tools. You can show and hide them by simply tap on the Pen tool.

  • Once you have completed annotations tap on the pen icon. It will close the annotation tools
  • To close the Zoom Whiteboard tap on Stop Share

Now we have a shared whiteboard. This is viewable on all the devices that connect to the meeting. While the person who hosts the meeting annotate or draws on this whiteboard, all the participants can see it.

Zoom Whiteboard enriched with a features rich toolbar. It lets the presenter do anything on the whiteboard including,

  • Insert, erase, and format block letters
  • Add handwritten letters
  • Draw lines
  • Insert stamps
  • Undo and Redo what you have done
  • Clear the entire window
  • Save the whiteboard

Page Controls

  • You can use Page Controls located at the bottom right corner of the whiteboard to create new pages.

  • You can also use it to switch between your pages.
  • Please note that Zoom will only allow the participant or host who starts sharing the whiteboard to create and switch between pages.

Can Participants write on the whiteboard in zoom?

Yes. If you do not change any settings or haven’t done anything the other participants of the meeting can also draw on your whiteboard.

Can you see who is annotating in zoom?

Suppose that you need to see that who is annotating or editing on your whiteboard. With Zoom, it has a feature that displays the name of the participant who is currently annotating on the whiteboard. This is how you can show the names of annotators on Zoom.

  • First, navigate to the top of the window
  • Next, click on the three dots where it says more.

  • Click on Show Names of Annotators.

Now you will see the names of your participants on your screen as they are making their annotations. They can use this Zoom whiteboard and add their own information to it.

How to disable annotation for others?

Sometimes, if all the participants can write on the Zoom whiteboard, it would be a bit disruptive during a class. So that as a host you can disable this ability for participants by changing these settings as described below

  • First, navigate to the top of the window
  • Next, click on the three dots where it says more.

  • If you do not need your participants to use your whiteboard, you can disable the participants’ annotations by clicking on Disable Annotation for Others

Now all the participants cannot use the whiteboard collaboratively. Their devices will no longer have the option to annotate this whiteboard.

Let’s say that you have finished giving your instructions and you’ve left some ideas on to the whiteboard and now willing to give your participants access to it.

How to collaborate on a whiteboard?

To collaborate with others on your Zoom whiteboard simply follow these steps

  • First, navigate to the top of your window
  • Click on the three dots where it says more.

  • Click on Enable Annotation for Others

Now it allows your participants to annotate and they will see that now they have options at the top.

This is a great feature for classrooms. As a host, you have full control over when and who is annotating on your Zoom whiteboard. At the moment, it is only possible to either give every participant access to the whiteboard or nobody. So you cannot select one student, in particular, to annotate and then take that permission away. Most probably this feature will be available in the future.

How to share multiple whiteboards in a meeting?

Zoom allows multiple participants to share whiteboards at once. To do you have to that turn on the simultaneous screen sharing option. However to see two whiteboards at once you should enable dual monitors.
